Welcome, and thank you for your interest in vending with Frederick County Homesteaders. These guidelines outline the expectations, responsibilities, and operating standards for vendors participating in Homesteader-sponsored events. Our mission is to foster a vibrant, welcoming atmosphere that celebrates local makers, growers, artisans, and educators.
1. Event Participation
Vendors must submit a completed application and receive approval prior to participation.
Regular vendors are encouraged to notify the Event Coordinator at least one week in advance if they cannot attend a scheduled event.
Occasional or one-time vendors must confirm participation with at least one week’s notice.
All vendors are expected to remain set up for the full duration of the event. Early teardown is not permitted unless authorized by the Event Coordinator.
2. Vendor Fees & Space
Standard Vendor Fee:
$50 for a 10'x10' space
$75 for a 20'x20' space
Space assignments will be made in advance. Priority may be given to early applicants or full-season participants.
Vendors must provide their own tables, tents, and setup materials.
All tents and canopies must be weighted down securely with a minimum of 25 lbs per leg to ensure safety in all weather conditions.
3. Product Guidelines
Vendors may offer a variety of goods including but not limited to:
Fresh produce, eggs, meats, plants, flowers
Baked goods and canned items (must comply with applicable food laws)
Handcrafted items such as soaps, candles, textiles, woodwork, and herbal remedies
Business-branded items or local organization merchandise (with prior approval)
All products must be produced or created by the vendor unless otherwise approved.
4. Food Safety & Labeling
Vendors selling edible goods must comply with all relevant Virginia food safety regulations, including Cottage Food Laws where applicable.
Packaged foods must be clearly labeled with:
Cold items (meat, dairy, eggs) must be kept at safe temperatures using coolers or refrigeration units.
5. Conduct & Professionalism
All vendors must maintain a courteous and respectful demeanor.
No smoking or vaping is allowed in vendor areas.
Children under 16 may vend with direct supervision from a parent or legal guardian.
Vendors are encouraged to help create a friendly, inclusive community environment.
6. Weather & Cancellations
Events may be canceled or closed early due to hazardous weather conditions. Decisions will be communicated via email, phone, or social media.
Vendor fees are non-refundable, including in the case of cancellations due to inclement weather.
Frederick County Homesteaders is not responsible for damage to vendor property due to wind, rain, or other weather-related incidents.
7. Permits, Licenses & Insurance
Vendors are responsible for ensuring they have all necessary licenses, permits, or insurance documentation required for their product types.
Frederick County Homesteaders may request copies for recordkeeping purposes.
8. Additional Activities
Live performances, demonstrations, or educational displays may be permitted with prior approval.
Fundraising and community group participation are welcome but may be subject to space limitations and event-specific review.
